Working at Cabinet


Cabinet is looking for an organized, flexible, and enthusiastic individual to work as Operations Manager at our office/event space in the Gowanus neighborhood of Brooklyn.

This person will be in charge of many of the administrative, logistical, technical, and production tasks required to publish our quarterly magazine and operate our event space. Given our small staff, our non-profit’s survival will depend on the reliability and efficiency of this person, who will form the backbone of our operations.

Below is a list of all the tasks (and software) handled by the operations manager. We recognize that few people will have experience in every area listed below but we are looking for someone who has familiarity with as many of the duties as possible and who is able and willing to learn the others quickly. A facility with software, data, and technical matters is crucial. The person also needs to be exceptionally detail-oriented and able to imagine and implement procedures that minimize errors (and costs) in the many responsibilities with which they are entrusted.

This is a four-day-a-week job, but could be a full-time position for a candidate able to assume additional responsibilities, including working with our advertisers, etc.

The successful candidate will have prior experience in some or all of the following areas:

Circulation and Subscriptions
--Data entry and fulfilling orders
--Corresponding with customers and subscribers
--Producing renewal notification letters and emails, and overseeing their timely distribution
--Overseeing the quarterly mailing of new issue to subscribers and distributors
--Working with USPS, UPS, FedEx, and other couriers
--Maintaining inventory of physical archive
--Preparing materials needed for various art and book fairs

--Coding and posting sample articles from each new issue
--Converting new issues from InDesign to PDF and HTML
--Updating online list of donors

Events (Talks, Screenings, Panels, etc.)
--Maintaining mailing list
--Announcing new events via website, mailing list, and Facebook
--Facilitating various preparations for events (video and audio tech)
--Assembling slideshows and video programs
--Setting up, capturing, and posting audio-visual documentation of event

--Ordering supplies
--Troubleshooting problems with office software and equipment
--Working with interns and volunteers (shared with others)
--Moving and storing inventory (shared with others)
--Driver’s license a big plus

--Maintaining archive of press clippings, digital and otherwise, in hard copy and online
--Assembling press packets for grants

--Entering accounting data
--Preparing Paypal reconciliations once a month
--Depositing checks

Production and Editorial Assistance
--Scanning, touching up, and reformatting images in Photoshop
--Examining advertisers’ files and ensuring they match our required specifications
--Proofing text, citations, and captions (Chicago Manual of Style)
--Ordering images from libraries, archives, etc.

--An excellent communicator, someone who can synthesize various streams of information and manage formal correspondence with a variety of clients and customers
--Previous pertinent work experience required

Salary and Benefits
--$32k for 4 days a week; $40k for full time
--contributions to dental and health care possible after two months
